Pay Range

The full pay range is $76,859- $115,288/annually. Depending on experience and qualifications.

We offer a bilingual differential for employees who can assist our members’ financial needs in a second language. Proficiency is subject to passing a standardized verbal assessment. Currently approved languages are Korean, Russian, Spanish, and Tagalog.

We are seeking a Senior Executive Assistant to join our team! This position serves as a trusted partner to assigned Executive and Senior Leaders helping to ensure credit union goals and strategic objectives are achieved, as well as work with members of the Administration team.

Requirements

Responsibilities:

  • Plans complex projects and credit union initiatives. This may include creating plans, setting timelines, and identifying resources.
  • Handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects, information, and people.
  • Conducts research and information gathering on behalf of the executive and prepares summaries and reports.
  • Develops positive and strategic relationships at all levels of the organization.
  • Uses discretion, judgement, and knowledge of the organization to facilitate the executive’s activities and maintain confidentiality.
  • Directs and deploys support staff or other resources, as needed.
  • Assumes a leadership role within work groups by leveraging expertise in specialized areas.
  • Maintains documentation, including meeting minutes, action items, and prepares status  reports and updates for executive team members and stakeholders.
  • Provides meeting coordination and support.
  • Coordinates virtual meetings using different platforms as needed.
  • Prepares complex correspondence, presentations, special projects, and maintains files and records.
  • Prepares meeting agendas and packets in a timely manner, sometimes under tight deadlines.
  • Safeguards sensitive information and ensures the security of confidential materials.
  • Provides additional support as designated by the assigned Senior Leadership Team member.
  • Maintains schedules, calendars, and coordinates travel arrangements for the Executive Leadership and Board of Directors while using independent judgement.
  • Provides back-up support for teammates as needed.
  • Acts in partnership with assigned senior leaders and continues to build a good working  rapport.
  • Demonstrates highest levels of member service, confidentiality and discretion when dealing  with internal and external members.
  • Maintains well-developed working knowledge of the assigned duties and job functions, keeping up to date with the latest trends and technologies.
  • Ensures duties performed are in compliance with all security, audit, regulatory compliance, information security, customer privacy, and Bank Secrecy Act/Customer Identification Program policies and procedures.
  • Demonstrates strong communication, collaboration, and relationship-building skills.
  • Uses sound judgment, critical thinking, and the ability to anticipate the needs of the assigned executive.
  • Provides mentorship to team members.
  • All other duties as assigned.

Education and Experience Required:

  •  High School Diploma (GED equivalent) required.
  •  5+ years of related experience in Executive Assistant role and/or combination of relevant financial services industry experience.

Education and Experience Preferred:

  • Associate’s Degree in Business or related field of study

Knowledge, Skills and Abilities:

  • Ability to organize and prioritize workload.
  • Ability to perform basic math skills, use decimals to compute ratios and percent’s, and to draw and interpret graphs.
  • Ability to prepare business letters, proposals, summaries, and reports using prescribed format and conforming to all rules of punctuation, grammar, diction, and style.
  • Explain policies, procedures, laws and regulations to members and fellow employees.
  • Handle difficult and stressful situations with professional composure.
  • Interpret a variety of instructions and technical procedures furnished in written, oral, diagram, or schedule form.
  • Keep current with industry and regulatory changes and trends.
  • Knowledge and skill of a variety of office administration systems, business communications and software programs.
  • Knowledge of principles and processes for providing member services; including member needs assessment, meeting service standards and evaluation of member satisfaction.
  • Knowledge of volunteer programs and activities.
  • Skill in converting draft materials into finished documents.
  • Skill in using tact and diplomacy in performing assignments.
  • Demonstrates exceptional problem-solving skills, involving remaining calm under pressure, thinking creatively to find solutions, and engaging resources to overcome obstacles.

This position is eligible for Full-Time Regular benefits. Employees and their eligible family members have access to a wide array of employee benefits, such as medical, dental, vision and life insurance coverage. Medical, Dental, and Vision insurance is paid at a 100% by company for the employee coverage. We also offer Health Care FSA (HCFSA) and Day Care FSA (DCFSA). Employees have access to disability and AD&D insurance.  Employees are able to enroll in our 401k plan. Full-Time Regular employees accrue 8 hours of vacation and 8 hours of sick leave, on a monthly basis. Full-Time Regular hired employees also receive 11 paid holidays throughout the calendar year, 1 floating holiday, 16 hours of self-care time, and 16 hours of volunteer time.

All benefits except 401k start the first of the month after 30 days of employment. Employees become eligible to contribute to 401k on the first of the month following 60 days of employment.
