Employee Services Assistant

Full-Time 40 Hours per Week Class 1 – Hourly

Department: Employee Services

Reports To: Employee Services Manager

Role: 

Supports Employee Services and the Human Resources functions by performing a variety of duties in an environment that models Rogue Credit Union’s culture and values to internal members, job applicants and community partners. Works in conjunction with the Employee Services department to support Rogue’s Vision, Mission, and Values.

Essential Functions & Responsibilities:

40% Provides general administrative support including but not limited to phone and email correspondence, completing expense reports, maintaining records, creating folders/labels, filing, and data entry. Composes/develops letters, documents and/or reports, edit other’s work, etc. Assists with projects and goals. Orders supplies and facilitates getting supplies to and from Rogue’s warehouse. Maintains confidence in a highly confidential department.

25% Responds to scheduling requests for company vehicles and condominiums, evaluating need and approving best use. Oversees key check-out/check-in and troubleshoots challenges. Purchases supplies and reports required repairs. Maintains lost and found.

15% Stays abreast of all areas Employee Services related to assist at a high-level coordination and correspondence while supporting point of contacts and Subject Matter Experts. This includes but not limited to Wellness, Benefits, Payroll and Recruitment. Responds to internal and external inquiries with helpful, friendly and enthusiastic service-oriented acknowledgment.

15% Creates termination paperwork packets and coordinates the scheduling of exit interviews.

5% Proactively performs other duties as needed or assigned.

1. Supports and practices Rogue’s Vision, Mission, Values, and Loyalty Culture. Utilizes the Service Promises with both internal and external members. Embraces Rogue’s community involvement program in a positive and proactive manner.

2. Adheres to and maintains all credit union promotional, regulatory and policy compliance requirements including compliance with any Federal and State laws.

3. Meets or exceeds assigned goals in order to achieve individual, department and credit union goals. Stays informed of current trends within the credit union movement and financial services industry.

4. Maintains confidentiality with all credit union information. Is helpful but knows how to change direction or explain when being asked about information that cannot be divulged. Uses good judgement in all aspects of work.

5. Demonstrates empathy, self-reflection, and adjustment of own behaviors, displaying effective emotional intelligence.

6. Demonstrates a practical understanding of the nature of working in Employee Services. Is a good listener, effective communicator, and comes across as empathetic and helpful to both management and staff.

7. Proactively assesses and fulfills the needs of their manager. Asks questions or makes suggestions as appropriate. Demonstrates good judgment in all job aspects.

8. Is highly productive. Doesn’t require constant oversight/supervision. Stays busy and keeps personal conversations and distractions to a minimum. Stays organized, prioritizes and on task. Meets all deadlines.

9. Is professional in appearance and demeanor. Is a good representative and role model of Rogue and the department inside and outside of work. Is positive and upbeat and a good team player. Stays out of office gossip and contributes to good office morale.

10. Produces quality work with minimal errors. Has a good eye for detail and produces professional work. This applies to all job functions including Compease and ADP input, recruitment paperwork, audits, etc.

Knowledge and Skills:

Experience: One year to three years of similar or related experience.

Education: A high school education or GED.

Interpersonal Skills: A significant level of trust and diplomacy is required, in addition to normal courtesy and tact. Work involves extensive personal contact with others and is usually of a personal or sensitive nature. Work may involve motivating, influencing, or training others. Outside contacts become important and fostering sound relationships with other entities (companies or individuals) becomes necessary and often requires the ability to influence or sell ideas or services to others.

Other Skills: Has excellent organizational and time management skills. Possesses excellent communication skills with the ability to create rapport. Requires good keyboarding skills with proficiency in Microsoft Word, Excel, PowerPoint and Outlook. Requires good composition/editing skills with an eye for quality and accuracy. Must be able to learn the credit union’s policies and procedures. Has good judgment with the ability to work in a confidential environment. Can work independently with limited supervision. Is resourceful at problem solving. Valid driver’s license with the ability to drive or access alternative transportation.

Physical Requirements: Some adjusting or moving objects up to 30 pounds in all directions. Must be able to remain in a stationary position, often standing or sitting for prolonged periods. Repeating motions that may include the wrists, hands and/or fingers while using computer. Communicating with others to exchange information. Perceiving the nature of sounds at normal speaking levels or without correction. Ability to receive detailed information through oral communication, and make fine discriminations in sound. Close and continuous visual acuity to perform activities such as: preparing and analyzing data and figures, transcribing, viewing a computer terminal, and extensive reading.

Work Environment: May require working occasional weekends or evening hours; otherwise, normal workday with occasional overtime. Office environment with some outside work related to events, managing resources, or transporting materials. Exposed to potentially hazardous conditions, i.e., robbery. Travel to the credit union facilities/regions may be required.
